How to plan a Japan trip with friends

Japan trips get complicated fast: multiple cities, dense neighborhoods, restaurant research, transit, and group decisions. A good shared planning doc keeps the entire trip usable for everyone.

A simple planning structure that works

1. Put all rough notes in one place. Flight ideas, hotel options, neighborhoods, restaurant lists, and day-trip ideas should start in one collaborative document.

2. Organize by city, then by day. Tokyo, Kyoto, Osaka, and side trips each need their own sections before you turn them into a cleaner day-by-day plan.

3. Make choices visible. As the group narrows down places, the plan should show where they are, what is close by, and how each stop affects the day.

4. Share early. The earlier everyone collaborates inside the same trip plan, the less time you lose reconciling different notes later.
